Job Title: Attendance Clerk

Reports to: Dean

Terms and Conditions: 10-month position, 8 hours per day.

Salary: Grade 2, $22.61 per hour, per Classified Personnel Association collective bargaining agreement. Includes full benefits package and Illinois Municipal Retirement Fund (IMRF) participation.

FLSA Status: Non-Exempt

Position SummaryResponsible for accounting for all student excusals via online requests, emails, phone calls, walkins, substitute attendance submissions. Assist with all editing of student attendance notations as needed from all faculty and staff in building.

Position ResponsibilitiesAttendance Office

• Answer phones and excuse students as needed.
• Retrieve voicemails and record info.
• Process absence requests from Skyward.
• Answer parent emails to excuse students and answer any questions they have.
• Write passes for early dismissal, late arrivals and unexcused entries.
• Make IDs for faculty, staff and students and post student fees to Skyward for any IDs/Lanyards
• Enter data in Skyward, including but not limited to:

Qualifications: Physical Skills and Demands:

• phone call info from parents, faculty and staff
• field trips
• attendance from subs
• testing info
• absence requests via Family Access
• emails from parent/guardians
• edits from Student Services staff for individual and group meetings
• Assist parents/guardians, faculty/staff and students by answering questions regarding attendance procedures and redirecting to appropriate source as needed.
• Use walkie-talkies to communicate with security staff to find students in the classroom for early dismissals.
• Communicate with parents/guardians by phone, email and absence requests regarding student attendance.
• Maintain office records and files as needed.
• Order and replenish office supplies.
• Perform other duties as assigned.
• Must be proficient in keyboarding and data entry.
• Must be proficient with Microsoft Office and Google Applications.
• Proficient in Skyward Student Management system
• Must be proficient with standard office equipment including computers, telephones, and copiers.
• Must be proficient in communication, able to handle multiple telephone calls from a variety of individuals, sometimes under stressful conditions.
• Ability to maintain good working interpersonal relationships with parents, students, faculty, and staff.
• Ability to prioritize requests and handle in order of urgency. Supervisory Responsibilities: There are no supervisory responsibilities associated with this position.

Standing, sitting, lifting, carrying, reaching, fine motor dexterity, talking, hearing, near visual acuity required. Environmental Conditions: Standard office conditions without windows.
